About This Position

ABOUT THE ROLE The Senior Management Assistant will serve as the Records and Archives Lead for the Hetch Hetchy Water and Power (HHWP) Archives Project. Based in Moccasin (140 miles east of the San Francisco Bay Area, requiring a 5-hour round trip commute), this role is responsible for the professional care, daily management, maintenance, and preservation of HHWP Records and Archives. The position involves managing the relocation of physical records to a new vault and refreshing records and archives programs, systems, and procedures. KEY RESPONSIBILITIES - Coordinate the disposition and destruction of records reaching their retention period, including moving records to the vault with labor crews. - Develop, manage, and monitor the departmental archives program, including annual file plan updates and training records coordinators. - Facilitate archives access, search requests, and Public Information requests for staff and consultants. - Analyze trends, prepare statistical reports, and recommend new procedures. - Ensure efficient recording, maintenance, and security of documentation for capital projects and operational activities. - Perform archival maintenance: evaluate re-housing, ensure regulatory compliance, conduct inventory spot checks, and oversee hazard mitigation. - Appraise, arrange, and describe collections per recognized standards (e.g., ISO 15489). - Plan, direct, and supervise Moccasin Records staff and consultants. - Identify and preserve Vital Records and items of historic value. - Collaborate with the Information Management team to develop dashboards and reports for transparency and operational improvement. - Create and implement training programs for employees on locating and entering documents in systems like SharePoint and eDocs. - Prepare strategic planning documents and roadmaps for the Records and Information Management program. MINIMUM QUALIFICATIONS - Education: Possession of a Baccalaureate Degree from an accredited college or university. - Experience: Three (3) years of full-time equivalent experience performing professional-level administrative duties in areas such as program/office/operations management, budget development/administration, or contractual agreements/grants administration. - Substitution: Additional qualifying experience may substitute for the required education on a year-for-year basis (1 year or 2000 hours equals 30 semester units or 45 quarter units).
