About This Position
ABOUT THE ROLE
- Agency: City of Louisville, City Clerk's Office
- Schedule: Full-Time, Exempt
- Overview: Performs complex and technical administrative work under the general supervision of the City Clerk. Coordinates administrative functions, licensing for liquor and marijuana, and serves as clerk for the Local Licensing Authority. May assume the responsibilities of the City Clerk in their absence.
- Note: The position is open until filled.
KEY RESPONSIBILITIES
- Issue and renew liquor and marijuana licenses while implementing statutorily required regulations.
- Serve as backup to the City Clerk for City Council meetings, managing public comments, taking minutes, and preparing agendas.
- Summarize minutes from City Council and study session meetings weekly.
- Track ordinances, resolutions, and meeting packets as permanent records in the Laserfiche application.
- Fulfill public information requests and research ordinances, laws, and regulations for the public.
- Oversee the codification of amendments to the Municipal Code.
- Administer dog licensing and live music permits.
- Balance and close out the cash drawer and prepare deposits for the Municipal Court.
- Execute legal documents including ordinances, resolutions, and contracts.
- Assist in the administration of municipal elections and the annual board and commission recruitment process.
- Act as a Notary Public for City and public documents.
MINIMUM QUALIFICATIONS
- At least two years of experience in office management or an administrative position.
- Preferred qualifications include three or more years of experience with a legislative body.
- Preferred education includes an Associate's or Bachelor's degree in Business Administration, Public Administration, or a related field.
- Preferred experience includes working in a City Clerk office, municipal court, or with open records laws.
- Ability to acquire working knowledge of City ordinances, laws, and licensing codes.
- Skill in professional interaction with the public, telephone etiquette, and using personal computers and office equipment.
SPECIAL REQUIREMENTS
- Must obtain a Notary license within six months of hire.
- Preferred possession of International Institute of Municipal Clerks certification or the ability to begin the process within one year.
- Must maintain the confidentiality of City and licensee information.
- Regular and predictable attendance is required.
- Physical requirements include sedentary office work, frequent typing, and the ability to lift up to 15 pounds occasionally up to 35 pounds.
